Provider Setup Guide

Everything you need to build a complete, trustworthy Motor-Matrix profile — from business basics to setting trigger costs and service times — and start receiving bookings on the Mississippi Gulf Coast.

Before You Begin

Motor-Matrix is a booking and matchmaking platform — we connect you with local drivers but do not employ or supervise you. Your profile is how customers decide whether to book you, so a complete, accurate setup directly affects how many bookings you receive.

  • You need a verified Motor-Matrix account (email + password) before you can save a profile. If you try to onboard without one, Step 1 will prompt you to create it.
  • Your profile is not published until all onboarding steps are complete, Stripe is connected, and our team approves it. Approval is usually quick for complete profiles.
  • Progress auto-saves to your browser, so you can pause and resume later without losing your work.
  • If you are already approved and just want to update a section, head to your Dashboard and open the relevant tab.

Onboarding at a Glance

Onboarding is six steps. Each step must be complete before your profile can go live:

Step 1 · Business Basics

This is the foundation of your profile. Required fields are marked with *.

Business name, contact person & phone

Use the name customers should recognize. The phone number is used for booking communication.

Business address

Enter your street, city, state, and ZIP. The address autocomplete will help. This determines your service area origin.

Service type — Mobile, In-Shop, or Both

  • Mobile — you travel to the customer.
  • In-Shop — customers come to you.
  • Both — you offer both options.

Service radius (miles)

How far you will travel for mobile jobs. Customers outside this radius will not see you for mobile bookings.

Fleet capable & max fleet size

Toggle this on if you can service multiple vehicles in a single booking (fleets, dealerships, businesses). Set the maximum vehicles per booking.

Semi truck / diesel capable

Toggle on if you service heavy-duty vehicles like 18-wheelers, semis, box trucks, and big diesel trucks.

Notification preferences

Choose email and/or SMS for bookings, payments, and reviews. You can change these later in Settings.

Step 3 · Services & Pricing

This is the most important step for earning. Here you define what you offer and how you charge.

Pick your provider type(s)

Choose all that apply: Mechanic, Detailer, or Customization. Each unlocks its own catalog of services.

Select services from the catalog

Check the services you offer. Each comes with a suggested price range and base duration. At minimum, set a Min $ and Max $. You can fine-tune structured pricing (below) for accurate per-vehicle pricing.

Set structured pricing (recommended)

Open "Set structured pricing" on any service to configure:
  • Base price by vehicle size — set a price for each of the 5 vehicle size buckets.
  • Condition trigger surcharges (detailing only) — flat fees added when a customer reports a condition.
  • Duration by condition (detailing only) — min/max minutes per dirtiness level.
  • Optional add-ons — extras the customer can add at checkout.
Your displayed price range auto-updates: min = smallest vehicle base, max = largest vehicle base + all triggers + all add-ons.

Add custom services

If you offer something not in the catalog, add it with a name, description, price range, duration, and category.

Create bundle deals

Once you have 2+ services, bundle them with a percent or fixed discount to encourage bigger bookings.
Final price a customer pays = Base vehicle price + Trigger surcharges + Add-ons. See the deep dives on trigger costs and service times below.

Step 4 · Portfolio

Upload at least a logo, a cover photo, or one gallery image. You can crop, zoom, and adjust every photo before saving.

  • Logo — appears on your profile card and search results.
  • Cover photo — the banner at the top of your profile.
  • Gallery — photos of your real work (before/after, finished jobs, your shop or van).
Profiles with real, high-quality photos of finished work convert far better than text-only profiles.

Step 5 · Availability & Calendar

Set your weekly schedule

Toggle each day on/off and set start and end times. This is your Motor-Matrix Platform Calendar — it auto-blocks bookings during your off times.

Sync an external calendar (optional)

If you use Google, Apple, or Outlook, connect it so Motor-Matrix also blocks times you are already busy there:
  • Google Calendar — secure OAuth connection.
  • iCal / Outlook / Apple — paste a published ICS feed URL.
Syncing an external calendar deactivates the Motor-Matrix Platform Calendar and its existing blocked time slots — only your external calendar's busy times will be used. After onboarding you can block specific slots (breaks, days off) from your dashboard.

Step 6 · Connect Payments

Connect a Stripe account so you can receive payouts for completed bookings. Motor-Matrix holds the customer's payment and releases it to you only after a job is completed, which protects both sides.

Stripe must be connected before you can publish your profile and receive bookings. You cannot skip it.

After connecting, you will be taken to your Provider Dashboard. Your application enters pending review until our team approves it.

Once approved, your profile goes live and you manage everything from the Provider Dashboard. Key tabs:

Overview

Bookings snapshot, revenue, busy slots from synced calendars.

Bookings

Confirm, complete, manage disputes, track job timers.

Calendar

Weekly availability, block slots, manage Google/iCal sync.

Services & Pricing

Add/remove services, edit prices, trigger costs, durations, add-ons, fleet pricing.

Wallet

Payouts, earnings, Stripe status.

Reviews

Read and respond to customer reviews.

Promo Codes

Create discount codes to attract customers.

Profile

Business info, bio, photos, credentials, years-in-operation toggle.

Setting Trigger Costs

Triggers are vehicle conditions customers report during booking (for detailing services only). Each trigger adds a flat surcharge on top of the base vehicle price. Setting them accurately means you are paid fairly for tougher jobs and customers see honest prices upfront.

How to set them:

Open a detailing service's structured pricing

In onboarding Step 3 or Dashboard → Services & Pricing, expand the service and open "Set structured pricing".

Find the Condition Trigger Surcharges grid

Only triggers that apply to that service's surface (interior/exterior/universal) are shown.

Enter a dollar amount for each trigger

Surcharges default to $0 until you set them. Click a field to auto-select and type the amount.

Save

Your max price automatically includes the sum of all trigger surcharges.

These are suggestions — set each surcharge to what fairly reflects your extra time and materials. You can also request a new trigger from inside the editor if a common condition is not listed.

Setting Service Times

Accurate durations keep your calendar reliable and prevent overbooking. There are two time settings:

1) Base duration

Every service has a base duration in minutes (set when you add it, editable in the dashboard). This is the default time block reserved for a booking.

2) Duration by vehicle condition (detailing only)

For detailing services, open structured pricing and expand "Duration by condition" to set a min/max for each dirtiness level:

3) Duration multipliers

Your profile also stores multipliers for light (1.0×), moderate (1.4×), and heavy (1.8×) condition scaling, applied across your services. These are set during onboarding and adjustable in the dashboard.

Tip: The dashboard shows your actual average job time (from the in-app job timer) next to each service. Use it to keep your estimates honest over time.

Completeness & Approval

Your profile is auto-reviewed once it has everything required to go live. A complete, approvable profile has:

  • Business name, phone, and full address
  • A service type (mobile / in-shop / both)
  • At least one provider type (mechanic / detailer / customization)
  • At least one service with pricing
  • Weekly availability with at least one day enabled
  • A connected Stripe account
  • All legal agreements accepted
If you carry insurance, upload the certificate so we can mark you as insured. Incomplete profiles stay pending until finished — you can save and resume anytime.

Tips for a Standout Profile

  • Add real before/after photos — they are the #1 factor in customer bookings.
  • Set structured pricing by vehicle size so every customer sees an accurate price, not just a guess.
  • Fill in trigger surcharges for detailing; $0 triggers mean you absorb the extra work for free.
  • Keep your availability and calendar in sync so you never get double-booked.
  • Write a short, professional bio and list your certifications — trust wins bookings.
  • Respond to reviews (positive and negative) to show you are active and engaged.
